Data input forms -general features
The majority of PIMS data input forms are organised into two distinct areas:
The upper part of the form (below) is used for creating "associations". Associations are "related" information which you are allowed to link to your record.

Upper part of a form
- All possible associations for the record are listed to the left of the form.
- In this example, the associations are:
Holder, Reagent specification, Hazard phrases, Input samples, Sample categories and Output sample.
Lower part of a form
The lower part of the form (below) contains named data entry fields (boxes) to record the most relevant information.

- Mandatory fields are indicated by an asterisk *.
- If you "mouse over" a field name you will see a '?' and a brief description of it.
For example: - If you click on a field name, a pop-up window will open describing all of the associations and data-input fields on the form.

NOTE when using PIMS forms it is good practice to create your optional associations before entering information in the data entry fields.
You may lose unsaved data if you create an optional association before saving any information in the data entry fields.
If you attempt to do so, you will see a warning requesting confirmation of your action:
However, the details and associations for a record can be updated later.
- All possible associations for the record are listed to the left of the form.
Saving your data
All PIMS data input forms have 3 buttons at the bottom:When you are ready, clicking the button will display the record you have created.

Associating "related" information to a PIMS record is usually, but not always, optional.
Most of the associations which you can create are presented in the same general format in the form.
The example below is for creating an association between a Sample and a Hazard phrase.
- The expression 'no Hazard phrases set' indicates that no Hazard phrases are associated with the record being created.
- To create an association, you have 2 options:
either: search for an appropriate record which already exists in PIMS by clicking Search/Add
or: create a new one by clicking Set new
Search for an existing record
Clicking Search/Add will produce a form with multiple search fields for the appropriate PIMS record.
It also shows how many records of this type are currently in PiMS.
-the example shows the form to search for Hazard phrases to associate with a Sample record
and shows that there are currently 226 Hazard phrase records.

- Either enter a search term in the 'Search in al fields' box
or enter one or more terms in the appropriately labelled box(es). - Click .
- A list of records which match your search criteria will be displayed in a table the bottom of the form.

notes:- The PiMS searches are case-insensitive.
- If you enter a term(s) which does not match the corresponding entries for
existing records, none will be displayed.
- If you do not enter any search terms, the details of all appropriate records in PIMS will be displayed.
- If your search produces no matching records, you can create a new one by
clicking the Create a new... link at the top of
the search page.
This has the same effect as clicking the Set new link. See Creating a record in PIMS.
-note:you will only see this link if you have permission to create a new record - To see the details for a particular record, click the
magnifying glass
icon next to the appropriate entry.
see Viewing a PIMS record for more details. - To select a record, check the box in the "Add?"
column of the appropriate record.
To select more than one record (where allowed), click all appropriate boxes in the "Add?" column.
Then click the button at the bottom of the list.
The data input form will be re-displayed with a link the selected record next to the relevant association name.
Mandatory associations
Some associations are mandatory.
These are usually at the top of the form and are indicated by an asterisk * and a warning message in red.
NOTE: You will not be able to proceed until you have created all mandatory associations for your record.
Create a new record
- To create a new record, click the Set new link.
a PIMS data entry form for the record will open in a new window. - Enter details as neceesary and click on the button at the end of the form.
- The data input form will be re-displayed with a link the selected record next to the relevant association name.
- The expression 'no Hazard phrases set' indicates that no Hazard phrases are associated with the record being created.
Data entry fields
Most PiMS data input forms contain at least one mandatory field.
These are indicated by an asterisk next to the name e.g. Name* and are usually displayed towards the top of the list.
- When you have entered the information you wish to record, click the
button at the bottom of
the form.
- If you attempt to save a form without completing the mandatory fields, or
with incorrect data (e.g. text in a numeric field), a warning will be displayed
listing the field(s) which you need to complete or correct.
- To dismiss the warning click OK and you will return to the form with the required fields higlighted in red.
- When you have entered the information you wish to record, click the
button at the bottom of
the form.
Variations
Association sub-types
In some cases there may be sub-types for an association. This will be indicated by a
icon next to the name of the association.
An example is sub-types of Citations which are a frequently used association in PIMS.
- Clicking the
icon reveals the 4 sub-types of citation in PIMS:
Book, Journal, Thesis and Conference.
Recording a date
Some forms require dates to be recorded such as the Start date of an Experiment.
- The current date is always given as a default value in the data entry field.
- To select a different date, either edit the default value, or click the
calendar
icon and select a new date.
Selecting from a list
For some PIMS data entry fields you can select from a predefined set of values.
The selection is made either from a set of radio buttons or from a drop-down list.
- The Hazard status for a Sample is set by clicking the appropriate radio button.
- If you create a new Hazard phrase in PIMS
the value for the mandatory data field: classification* is selected from the values in the drop-down list.
